Growing company eliminates two-tier approach to managing business and gains cloud benefits with MYOB Advanced…

Telecommunications equipment supplier Codecom knows that when delivering the very latest global technology solutions and equipment to clients, being anything less than leading edge yourself is not an option. That’s why it has implemented the cloud-based MYOB Advanced business management platform, improving control and eliminating inefficiencies which had grown out of a two-tier systems approach.

Established in 2006, Codecom is based in Melbourne, with a second office on Queensland’s Gold Coast. Its sphere of work includes everything from the initial scoping requirements for major commercial telecommunications installations, creating connectivity solutions and definitive implementation strategies, as well as the ‘hands-on’ installation of structured cabling, fibre optic cabling, plus the back-end supply of equipment and accessories.

Situation
Courtney Purcell, Codecom General Manager (Commercial) notes, “We deliver industry-leading communications solutions, and build our reputation on quality, innovation and professionalism, so we have to ensure every aspect of our own business is equal to what we give our clients.”

The rapidly-growing company found itself with two platforms: MYOB AccountRight for accounting and Excel for logistics, invoices and quotes. The resulting disconnect was putting a strain on the business, explains Purcell. “We were inefficient, with many functions being manual and time consuming. This also impacted on managing stock, purchase orders and invoices; there was also a lack of visibility across all functions of our business.”

Solution
Given the significant cost of purchasing and implementing a completely new business management system, the Codecom team carefully evaluated its options before settling on MYOB Advanced and choosing BusinessHub to handle the implementation.

Purcell explains, “The functionality of MYOB Advanced met our many needs including customer special pricing, advanced stock management, a customer portal as well as CRM.” Beyond those features, adds Purcell, “We definitely wanted a cloud-based system.”

A detailed scope and understanding of Codecom’s business was initiated, mapping existing business processes and determining where the company wanted to go in the future. Existing data was reviewed and migration and configuration options suggested, with requirements around customer special pricing and inventory a major priority.

The Codecom team went through the MYOB Advanced beta and pilot programmes to improve understanding of the power of the software. With the migration of all Excel data, including customer price deals, stock sheets and purchase order details, the BusinessHub team delivered functional training to ensure successful user engagement with the new system.

Results
Purcell describes the move to MYOB Advanced as an unqualified success. “Running every aspect of our business from this single, cloud-based system is 100 percent easier, particularly as we’ve streamlined our processes and improved the accuracy of inventory and customer pricing,” she notes.

“Now that we’re cloud-based, all aspects of our business are accessible everywhere to the staff that need it,” she adds, explaining that with a decentralised workforce around AU and NZ, this has become a crucial advantage which ensures accurate landed costing, accurate invoicing for quoted prices by sales reps, and accurate inventory to meet customer demands.

With MYOB Advanced, Codecom also enjoys valuable insights into its business which were previously not possible – such as customer buying patterns and back order visibility and fulfilments, which enables more informed and agile decision-making. There are financial benefits, too: changes to the invoice structure has reduced the time taken to process accounts receivable, improving cash flow.
